Coverage clash warnings for holiday requests

Awayly can now warn employees and approvers when a holiday request may overlap with someone in the same role or department, helping teams spot potential staffing issues before leave is approved.

Awayly now includes improved coverage clash warnings when employees request time off.

When an employee selects holiday dates, Awayly can check whether another relevant team member is already away during the same period.

Depending on the company settings, Awayly can compare employees by:

  • Job title
  • Department
  • Either job title or department
  • Approved leave only
  • Approved and pending leave requests

Employees get a warning before submitting If a potential clash is detected, the employee is shown a clear warning before they submit their request.

The request can still be sent, so the system does not automatically reject leave simply because someone else is away.

This gives employees useful context while still leaving the final decision with their manager or administrator.

Managers and admins see the clash too

When a request is submitted with a possible coverage issue, the approver can also see the warning within Awayly.

Where their permissions allow it, managers and admins can see which other employees are already away and which dates overlap.

This makes it much easier to understand the staffing impact before approving or declining a request.

Coverage warnings are included in email notifications The normal holiday request email sent to the relevant manager or administrator can also include a Potential coverage clash notice.

This means approvers do not need to log into Awayly first just to find out that another person in the same role or department is already away.

Companies stay in control Coverage warnings can be enabled or disabled within company settings.

Businesses can decide how employees should be matched and whether pending requests should also be treated as potential clashes. Awayly does not automatically block or decline the request.

The aim is simply to give both employees and approvers better information before a decision is made.

This update helps businesses avoid unexpected staffing gaps while keeping the holiday approval process flexible.
